A long distance moving checklist works best as an eight week countdown. Week 8 is quotes and surveys. Week 7 is the purge. Week 6 is documents. Week 5 is utilities and mail. Week 4 is address changes. Week 3 is labelling. Week 2 is consumables. Week 1 is the first-night box. Moving day is the final walkthrough.
I moved from Calgary to Toronto, roughly 3,400 km by road along Highway 1 and Highway 17. This is the list I wish I had taped to the fridge on day one.
How Much Does a Cross-Country Move Cost?
I collected three binding quotes for a three-bedroom house, about 4,500 kg of goods. They came in at $6,900 CAD, $8,400 and $11,600. Price follows weight, distance, access at both ends, packing services, and whether you buy full-value protection instead of the default liability, which is calculated per kilogram and pays out far less than an item is worth.
The extras nobody flags: shuttle fees when a trailer cannot reach the street, stair and long-carry charges, elevator booking fees, and storage-in-transit if your dates slip. Get each in writing. My figures are one household’s 2024 quotes, not a national average.
When Should I Book a Long Distance Move?
Book eight weeks out. June through early September is peak season across Canada, and month-end is worse than mid-month because leases and closings cluster there. I took a Tuesday in the third week and saved several hundred dollars against the same crew’s month-end rate.
Winter moves cost less and are harder. The Trans-Canada through northern Ontario closes for weather more often than Albertans expect. Build three flexible days into any November to March move.
Week 8: Quotes and the In-Home or Video Survey
Never accept a price quoted over the phone from a room count. Insist on an in-home survey or a live video walkthrough, and open every closet, the garage and the shed. My first estimator missed a chest freezer and a canoe. That omission becomes a revised invoice on load day.

Week 7: The Purge Weekends
Two full weekends, one room per session. The rule that worked: if moving an item costs more than replacing it, the item does not travel. Weight is money on a long haul. I sold, donated, then paid to remove one truckload of junk.

Marketplace pays best and costs the most patience. Junk removal costs money and buys back two weekends.
Week 6: Documents, School Records and Vet Records
Build one accordion folder that never goes in a box: passports, birth certificates, the lease or closing paperwork, insurance policies, tax slips and the moving contract.
Request school records early. Our Alberta school needed three weeks to release the transfer file, and the Ontario school wanted the last report card plus an immunization record. Ask the veterinarian for the full history and a rabies certificate. Ask the pharmacist for a printed medication list, because a prescription transfer between provinces takes days.
Week 5: Utilities, Internet Install Times and Mail Forwarding
Set the shut-off at the old address for one day after the move. You want lights and a furnace during the final sweep.
Internet is the trap. My Toronto install was booked 24 days ahead, the earliest slot offered. Book it the moment your possession date is firm. Then start mail forwarding through the Canada Post mail forwarding service, which begins on a date you choose. I bought six months and used every week.

Provincial items take longest. Your licence and vehicle registration must move to the new provincial registry inside its stated window. Health coverage does not transfer. Week 3: The Box Labelling System That Saved Me
Three pieces of information on every box, written on two sides and the top, never only the lid.
- Destination room at the new house, not the room it came from.
- A sequential number, starting at 1.
- One line of contents in plain words.
I kept the numbers in a notes app: “42, kitchen, mixing bowls and baking sheets.” When a box went missing for three days at the far end, I gave the driver a number and a description instead of waving my arms. Colour tape per room helps the loaders. The numbers help you.
Week 2: Consumables and What Movers Will Not Carry

The fridge plan is simple. Stop buying groceries 10 days out. Defrost 24 hours before load day and prop the doors open, because a sealed appliance travelling for 10 days grows a smell you never remove.
Moving Day: Walkthrough, Inventory, Meters and the Last Sweep
Walk the house with the crew chief. Read the condition codes beside your own furniture before signing the inventory sheet, then photograph the sheet. Photograph the gas, electricity and water meters with a timestamp. Then sweep: every closet, the dishwasher, the medicine cabinet, behind doors, the garage rafters. I found a passport on the second pass.
